UDS and OSHPD setup

Hello,

We are new to Dentrix and have the enterprise version. We have went through training and will go live soon.

I want to make sure that we have our Insurance and financial class settings correct to collect data.

Advice welcome.

P.S. Our Dentrix system is not connected to our PMS.

UDS and State specific reporting

Hello,

My organization is new to Dentrix in fact we are going live soon and just wrapped up the training and setup.

I'm concerned that we have setup the Insurance Groups, Financial Class and etc. to collect the necessary data for UDS T4, T's 9 and OSHPD (California State Specific Reporting).

Any suggestions, gotchas, insight, advice or, comments are welcome.

Concern about NPI

Hello Everyone,

I am still using the 1.6 version. Recently learned that I would have to manually enter all the new CDT codes and also that the new claim form with the NPI field will only be available with the 3.0 release. I plan to do the upgrade to 2.0 soon but I am concerned about having to do another upgrade

before the May 23 NPI deadline and also can we be sure 3.0 will be ready on time? Do others share my concerns? Look forward to hearing from you.

A request for enhancement to this report has been made so that it can provide aging by insurance company, by insurance company attached to each individual charge, and by insurance company type (medicade, self pay, indemnity, capitation plans, etc.)

How should you plan?

Have your IT people copy the database to a stand alone server and ask Dentrix to do a test upgrade. Then get some training. Read the notes from the San Antonio class on the ledger in version 2. After you upgrade, I recommend a day of training followed by another day of training two weeks after you upgrade.

Using ruport drops sql queries reports to excel

Using Ruport, a reporting utility that is free, you can give it a sql query and have it dump a .csv file which Excel can read. Because it is really a library for a programming language, it is capable of a lot. Without much fuss, it can e-mail reports to you in .csv, in a .pdf, or as .html ... It works with any open database, hence it works with Dentrix Enterprise. But since it works with *any* open database, it can get some information from say Dentrix Enterprise and other information from some other database or .csv file or from information out on the web, and combine it into a report. It's pretty slick.

Counting visits

Because of duplication of encounters, which is a no no in UDS reporting, you should know that if someone has had an appointment with two providers on the same day, that it only counts the one for the primary provider, usually the dentist, and not for the secondary provider, ususally the hygienist. This is true even if you limit the UDS report to just return visits for one hygienists code - it will return the number of visits not including visits that also saw a dentist on the same day. An enhancement request has been made to address this.

Use adjustments for things like missed appointments

As we know, if you post a procedure in the ledger it counts as a visit or an encounter to the UDS report. A suggestion was made by a some super quick users in San Antonio at the users conference to use adjustments for these types of things instead of procedures. If you use an adjustment for the missed appointment, cancelled appointment, etc, it will not throw off the UDS report.

Until Lab Case Manager comes you can use Continuing Care, the notes are in the book from the users conference in San Antonio, or you can put an extra column in the appointment book for each clinic and use that.

A suggestion was made in the "Advanced Charting" class on Thursday at 8:30am at the Dentrix Enterprise Conference in San Antonio. The idea was put forth that users should not need to copy stuff around in the program so much to document treatment for a day. Currently users copy things like the psr screening and the medical history and other things that have been filled out during the day into the clinical notes where the resident and the attending can print out one record and sign it. It was suggested that all changes made to a patients record on a given day be gathered in one place, perhaps a daily summary, that would detail in somewhat of a narrative, the pain assessment, the treatment plan entered, the procedures done and notes from them, any health alerts added or deleted, the psr screening score, the medical history updates, any other questionaires, etc etc. This would be useful for submitting it to hosptials with a referral or for printing in narrative form an entire chart for a legal issue.

pain assessment pop up

The pain assessment screen that pops up in front of the chart (a global setting) should not pop up once it has been filled out for the day. Also, if the patient does not have an appointment on the day you are opening the chart, why pop up this pop up? (Maybe this could be another setting.) Also, there should be a way (an icon) to get to it from the chart and to edit it for a brief time before it locks out like a clinical note does. (Maybe it should lock with a clinical note.)

Use plan maximum needs to be a global setting

A suggestion was made in the "Advanced Charting" class on Thursday at 8:30am at the Dentrix Enterprise Conference in San Antonio. We learned that the check box in the chart "use plan maximum" should pretty much always be checked. Therefore it was suggested that there be a global setting added to make sure this is on each time the chart is launched.

Treatment plan history

A suggestion was made in the "Advanced Charting" class on Thursday at 8:30am at the Dentrix Enterprise Conference in San Antonio. Many users commented that they do not want to delete treatment plan information. Yet they need some of it to disappear from the unscheduled list and from the rendered chart when it is no longer feasible or has been rejected by the patient. So an option to archive treatment planned procedures needs to be added. Another idea was to automate copying old treatment planned procedures into a narrative, like a clinical note and then delete them from the treatment plan.
